We appreciate that many of our members want to arrive early to shake off jet lag or extend their stay to explore a destination more deeply. Many of you do exactly that, and it’s one of the reasons we love this community – you’re not box-tickers rushing from one sight to the next. You travel thoughtfully, and that often means building buffer time into your journeys.
So when we tell you that Wheel & Anchor cannot provide airport transfers outside the official trip dates, that is, before Day 1 or after the final day, we want you to know it’s not arbitrary, it’s not punitive, and it’s certainly not because we don’t care about making your travel seamless. It’s because we learned, through years of painful trial and error, that trying to accommodate custom transfer requests actually delivers a worse experience for everyone involved.
The experiment that failed
For years, we tried to be accommodating. A member would email saying they were arriving two days early and could we please arrange a transfer from the airport to the hotel? It seemed reasonable. We’d coordinate with our local transfer provider, communicate flight details, and hope everything worked smoothly.
Except it rarely did.
The problems clustered around a few predictable patterns. Members would provide flight information that later changed: a different airline, a different time, sometimes even a different airport and wouldn’t update us. Or they’d arrive, encounter a delay or gate change, try to contact us in the middle of the night Toronto time, and discover we don’t have 24/7 support because we’re a team of a dozen people, not a multinational conglomerate. Or the transfer driver would be waiting at the wrong terminal because the communication chain: member to us to local partner to driver – had broken down somewhere along the way.
We tracked this for a full year, trying various workarounds. In fact, 89% of customized transfers (yes, we counted exactly) falling outside Day 1 or the last day resulted in errors, missed connections, or member dissatisfaction. Not 20%. Not 50%. Eighty-nine percent.
The failures weren’t because our partners were unreliable. They weren’t because members were careless. They were structural. The systems we had in place, designed to deliver a flawless experience during the trip, simply couldn’t extend backward or forward without creating cascading points of failure.
Why Day 1 and the last day work so well
Here’s what makes our standard transfer service reliable: predictability, concentration, and on-the-ground support.
On Day 1 of every trip, our host arrives 24 hours early specifically to be available for transfer coordination. If your flight is delayed, if you can’t find your driver, if there’s any hiccup whatsoever, you have a dedicated contact person who speaks English, knows the local landscape, and can troubleshoot in real time. You’ll have communicated with them by Telegram already so you’ll have someone to reach directly.
On top of that, we contract with transfer providers on the basis that all pickups happen on a single day, grouped by arrival time. Members arriving within a 30-minute window share transfers, which makes the service dramatically more cost-effective and ensures drivers aren’t sitting idle waiting for scattered arrivals.
Contrast that with what happens when we try to coordinate a transfer two days before Day 1: we have no one on the ground yet, no host to intervene if something goes wrong, no grouped arrivals to share costs, and no structural support system. The transfer company we contract with for Day 1 isn’t generally on-site 24/7. They drive in specifically for our trip dates, which is part of why we’re able to negotiate favourable pricing and dedicated service.
The small company reality
We’re a boutique operator with a dozen staff, running roughly 50 unique trips per year with deeply curated itineraries that change and evolve based on member feedback. The reason you book with us is because we’re not those cookie-cutter companies. You get hand-selected hotels, direct relationships with local guides, itineraries designed for depth over breadth, and pacing that prioritizes serendipity and rest.
But that model comes with trade-offs. One of those trade-offs is that we cannot provide the kind of sprawling, always-on logistical support that giant operators can. From the moment Day 1 begins until the last guest departs on the final day, you have our full attention and resources. Outside that window, we simply don’t have the infrastructure to guarantee the quality of service you deserve.
What about the $25 credit?
When we tightened our transfer policy, we knew members who arrive early or stay late would forfeit the included transfer. To acknowledge that, we issue a CAD$25 per person credit for each forfeited transfer.
That figure is an average across all our trips. Some transfers cost more, some less, depending on destination and distance. In cases where the actual transfer cost exceeds $25, you’re technically paying a bit more out of pocket. But the credit is meant as a gesture: we’re not pocketing the full transfer fee when you choose to extend your stay. We’re returning part of that value to you.
The better alternative: Welcome Pickups
That’s why we recommend Welcome Pickups.
Welcome Pickups is a multinational transfer company operating in dozens of countries. Unlike our boutique transfer arrangements designed specifically for Day 1 group service, Welcome Pickups offers:
- 24/7 call centre support
- Real-time flight monitoring so drivers adjust automatically when your arrival changes
- Direct communication with your driver via WhatsApp or in-app chat
- Toll-free contact numbers and email support if issues arise
- Professional, vetted drivers with transparent pricing and no hidden fees
When you book through Welcome Pickups, you are the primary contact. If your flight is delayed three hours, you don’t have to track down our team in Toronto and hope we can reach a local partner before your driver leaves. The system adjusts automatically. If you need to communicate with the driver, you can do so directly. If something goes wrong, you can call a 24/7 support line that will actually answer.
All that being said, you don’t have to use them. Many of our members are well-versed in ridesharing apps like Uber, Lyft, Grab, Bolt, Yango and so on and so on. Personally that’s what we use when bouncing around the world checking out what’s next for our members. We’ve never been let down so far.
The package philosophy
A Wheel & Anchor trip is a package that runs from the moment you’re welcomed on Day 1 until you depart on the last day. Within that window, we own the experience completely. Your host is on call, your transfers are coordinated, your hotels are vetted, your guides are briefed, and every logistical detail is our responsibility.
Outside that window, before Day 1 or after the last day, you’re travelling independently, and that’s appropriate. You’ve chosen to extend your time in the destination on your own terms, which might mean a different hotel, a different neighbourhood, or simply the freedom to move at your own pace without coordinating with a group.
The bottom line
The current policy which is that transfers are included only on Day 1 and the last day, has resulted in near-perfect execution. Members are picked up reliably, drivers are communicated with seamlessly, and our hosts have the tools and support to troubleshoot in real time.
For transfers outside those dates, you’re better off booking directly with a service like Welcome Pickups. You’ll get 24/7 support, real-time flight tracking, direct driver communication, and the kind of professional infrastructure that’s specifically built for independent travellers navigating complex logistics.
