Flights: Booking Yourself or Through Wheel & Anchor

Written by Wheel & Anchor | Nov 5, 2026, 9:49:03 PM

Flights are not included in your trip price

Our land/sea programs do not include international airfare from Canada which is sold separately. Air arrangements requested from W&A are processed through a 3rd party airline consolidator and sold as an entirely independent booking.

W&A tour programs do not include international airfare from Canada. We are happy to make your air arrangements subject to receiving all of the information outlined in the Flight Request Form.

When to book your flights

We typically make air reservations once the desired trip is formally declared a “GO”, meaning that the minimum number of members have booked for us to be able to operate the trip. If a member requests to book flights prior to this point, the member assumes all responsibility for charges and penalties which may be applicable should the trip not be operated. Please note that It is not possible to make air bookings more than 11 months prior to the return date due to airline reservation system restrictions.

We request that you not book any tickets or make any non-refundable air reservation prior to receiving the go-ahead from our office that the particular trip you have booked is guaranteed to be operated. Most of our programs have a minimum number of participants which we must achieve in order for them to be carried out feasibly. If you book your air tickets prior to receiving such notification from us, then you absolve W&A from all liability for air cancellation penalties if the trip does not go ahead. For greater certainty, the purchase of international airfare is an independent transaction between you and the air carrier. W&A's liability is strictly limited to the land/sea components of the tour as specified in the tour confirmation.

Which airports and dates to fly into

Your Trip-Specific Reference Guide has an Airline Tickets section listing the arrival airport, arrival date, departure airport and departure date for your trip. Arrival and departure transfers are included in your trip price on the first and last day of the itinerary. See Transfers for the details.

How we book your flights

After we receive your Flight Booking Request, we will:

Request you to book a phone call with us to review the flight options. Assuming that the flight options generally match your requirements, we request that you are able to confirm the flight booking details during that call.

Book the flights that have been quoted and confirmed by you over the phone and/or by email.

If we are unable to offer flights that suit your requirements during the phone call, we will research and provide a written quotation by email within 2 business days, or we will advise that we are not able to find flights that meet your requirements and the booking process will cease.

Send you a confirmation email within 1-2 business days upon completion of the flight booking

Airfare prices

Any airfares listed on our website, brochure, newsletters or other media are estimates based on quotations received at the time of publishing or issuance and are not a representation of the airfare that will be available at the time of booking. Specific airfare quotations are only valid at the moment they are provided given the dynamic pricing nature of airline tickets and they may change at any moment prior to confirmation.

Please note that all airfare quotations received from us are "real-time," and it is generally not possible to confirm that a quoted airfare will be available even minutes after the quotation is issued due to the way airline reservation systems operate, which is by way of “dynamic pricing”. Airfares are therefore guaranteed only at the moment that payment is processed and tickets are issued. Until that time, all prices are subject to change without notice due to currency fluctuations, fuel surcharges, tax changes, or any other factors that may affect pricing which are entirely beyond our control.

Payment

Full payment is required to issue airline tickets unless otherwise specified. Payment may be made by credit card only. For your security, we will accept credit numbers by telephone or a secured payment gateway only. Never send credit card information by email.

Ticketing fees

We charge ticketing fees for the issuance of each airline ticket in order to offset the cost of researching, quoting and issuing tickets as well as to provide support in requesting ancillary services such as seat and meal selection and to notify of any changes to the booked itinerary and liaise with the Carrier as may be necessary.

Ticketing Fee for new tickets: For each passenger on a flight booking from the departure point to the return point that is issued all on one Passenger Name Record (PNR), a ticketing fee of CAD$100 plus applicable taxes (ie. HST) will be charged separately from the airfare itself.

Modification Fee: For changes to tickets issued by us including changes to the dates, routing, carrier, class of service or any other change which necessitates re-issuance of the ticket, a fee of CAD$50 plus applicable taxes will apply, in addition to any fare difference or change fees imposed by the airline.

Changes and cancellations

Your air booking is a separate contract and contains its own payment and cancellation provisions which are entirely independent of those for the booked tour. While we endeavour to ensure that you are aware of any differences in such conditions, you acknowledge and agree that it is incumbent upon you to interpret those. Any and all changes including spelling corrections to the passenger names after air tickets have been issued will be subject to the airline’s revision/change or cancellation fees.

If you wish to change any aspect of your flight booking after confirmation: All change requests must be submitted in writing. Changes are subject to airline policies, availability, and applicable fees. Modification Fees will apply as per our fee schedule and the airline's own fee structure. We will do our best to accommodate your request, but it may not always be possible.

If you wish to cancel your flight booking: All cancellation requests must be submitted in writing. Cancellation of your ticket will be subject to airline cancellation policies and fees. Tickets designated as non-refundable cannot be refunded regardless of reason for cancellation. Our agency service fees are non-refundable even if the airline provides a refund.

In the event you opt to cancel an air ticket issued by us, the aforementioned fees are not refundable and we will process the cancellation less any penalties that may be imposed by the Carrier.

If the airline changes your flight

Airlines may change flight times, dates, routes, and even cancel flights. In such cases: We will inform you of any Significant Changes (as defined below) as soon as possible after being made aware of them. A Significant Change is defined as including changes in departure or arrival times of at least 3 hours (domestic flights) or 6 hours (international flights) later than originally scheduled; changes to scheduled departure or arrival airports; increases in the number of connection points on flights; downgrades to class of services; or certain changes adversely impacting passengers with disabilities. If a Significant Change occurs on your airline booking, you may be entitled to a refund on your airline booking which is entirely subject to the airline's policies. We will assist you in making alternative arrangements to the best of our ability, but we are not responsible for costs incurred due to such changes.

Booking flights between two trips

Each trip operated by W&A is a discrete and independent contract. While members may choose to book multiple trips consecutively ("Back-to-Back Bookings"), you acknowledge and agree that the status, operation, or cancellation of one trip has no legal bearing on the status of any other trip.

Members who choose to book international airfare connecting two separate trips do so at their own risk. We strongly recommend "Go" confirmation for BOTH trips before non-refundable airfare is issued and/or alternatively procuring a ‘Cancel for Any Reason’ travel insurance policy for such airfare to ensure that the cost of the airfare is covered.

Your passenger information

You must provide accurate and complete passenger information exactly as it appears on government-issued identification. (If you provided us with your currently valid passport at the time of booking your trip, we will rely on the information contained therein.)

It is your responsibility to verify all details on booking confirmations, e-tickets, and itineraries including but not limited to: passenger names, dates, times, flight numbers, and routing. Any errors or discrepancies must be reported to us immediately upon receipt of your flight confirmation.

Our role

We act solely as a booking agent for the disclosed principal supplier airlines. We arrange for you to contract with airlines, but we are not the source or actual provider of flight services.

Meals, seats and baggage

Special meal requests, seating preferences, and other special services can be requested but cannot be guaranteed. You may enter special meal requests or dietary restrictions for each traveller when you complete your registration. We will relay your requests to the airlines up to fourteen (14) days prior to departure. For requests after this date, you must contact the airline directly.

Baggage allowances vary by airline and ticket class. You are responsible for immediately checking the specific allowance for your booking upon receiving confirmation. We strongly recommend that you obtain appropriate travel insurance to cover potential baggage loss, delay, damage or other issues.

Tell us your flight details

To ensure we can coordinate your transfers, you must submit your arrival and departure flight information no later than 60 days before the trip starts. If we do not receive your flight details by this deadline, your transfers will be forfeited.
